We are currently seeking a highly organized, self-motivated, and enthusiastic Administrative Assistant to support our operations and help uphold our standard of excellence in client service.
Role Summary:
The Administrative Assistant will be instrumental in overseeing the daily functions of the program, managing client communications, and supporting a team of music instructors. This role involves coordinating schedules, handling bookings, maintaining records, and ensuring seamless operations. The position is fully remote and offers flexible scheduling.
Key Duties and Responsibilities:
Team Coordination:
- Manage a team of music instructors, ensuring timely scheduling and providing ongoing support.
- Organize team meetings and updates, and assist with onboarding or training as needed.
Client Scheduling and Management:
- Coordinate new lesson bookings, aligning client preferences with instructor availability.
- Handle scheduling changes, cancellations, and rescheduling requests efficiently.
Client Support:
- Serve as the primary point of contact for client inquiries via phone and email.
- Address concerns and provide solutions to maintain client satisfaction and retention.
Administrative Operations:
- Maintain organized records of client information, instructor schedules, and lesson plans.
- Manage billing, invoicing, and other administrative financial tasks.
- Ensure internal files and communications are properly documented and current.
Program Support:
- Assist with general administrative tasks to ensure efficient program operations.
- Develop and implement process improvements to enhance productivity and organization.
Candidate Qualifications:
- Excellent organizational and multitasking abilities, with strong time management skills.
- Outstanding communication skills, both written and verbal.
- Previous customer service experience is advantageous.
- Capable of working independently in a remote environment.
- Proficiency in scheduling software and digital tools.
- Prior administrative experience, especially in a remote or education-focused role, is preferred.
- A passion for music is welcomed but not essential.
